Service, publisher and acceptance
The Billify service (the “Service”) is a SaaS solution enabling users to upload documents (invoices, expense reports, receipts), analyse them using OCR enhanced by AI, extract and structure data (amounts, dates, suppliers, references), and export it (Excel/CSV).
The Service is published by Billify (French sole proprietorship) — address available on request at probillify@gmail.com. See also the Legal notice.
Definitions:
- Client / User: any person using the Service (professional or consumer).
- Account: secure personal space for accessing the Service.
- Credits: consumption unit (e.g. processed pages).
- Documents: uploaded files (PDFs, images, scans). Data: information extracted from Documents.
Acceptance: accessing and using the Service implies full and unreserved acceptance of these Terms of Use. Otherwise, the User must refrain from using the Service.
Availability: the Publisher endeavours to keep the Service accessible 24/7, except for maintenance, updates or force majeure; planned interruptions may occur.
Account and access to the service
Registration
To access all features (subscription management, history, credits), the User must create an Account and provide accurate, complete and up-to-date information.
Credentials and security
Credentials (email, password) are strictly personal. The User agrees to keep them confidential and to notify the Publisher if unauthorised access is suspected.
Sign-up credits
Billify may offer a welcome credit to new Users upon account creation (e.g. a volume of free pages). The Publisher may modify or remove this benefit at any time.
Conditions of use (OCR & AI)
Billify uses OCR and AI technologies to analyse Documents and extract Data. The User is informed and accepts that:
- results may contain errors, approximations or omissions;
- the Service does not constitute accounting, tax, legal or financial advice;
- the User remains responsible for verifying and using the Data.
Financial conditions
Pricing terms (subscriptions, credits, limits, overages) are described on the Pricing page and/or in the “My subscription” area. Amounts are in euros (excluding VAT unless stated), billing may be handled via a provider (e.g. Stripe), and unless stated otherwise payments are non-refundable.
Right of withdrawal (consumers)
Consumers have a withdrawal period of 14 days. For digital services, this right may be lost if performance began before the end of the statutory period, with the User’s agreement.
Forbidden uses
The User agrees to:
- use the Service in accordance with applicable laws and regulations;
- not upload any unlawful content or content infringing third-party rights;
- not attempt to access the Service by means other than the provided interfaces;
- not compromise the security of the Service (viruses, attacks, etc.);
- not use the Service to develop a competing service.
Intellectual property
On the Service
All elements of the Service (software, interface, texts, logos, databases) are protected and remain the exclusive property of the Publisher or its partners.
On Documents and Data
The User retains ownership of their Documents. They grant the Publisher a limited licence strictly necessary to host, process and return results (analysis, export, support, security).
Term, suspension, liability
These Terms of Use are concluded for an indefinite period from first use. The Publisher may suspend or terminate access in the event of a serious breach, abusive use or security risk. The User may request deletion of their Account and cancel their subscription from their management area.
Force majeure: neither party shall be held liable for a failure caused by a force majeure event.
Liability: the Publisher is not liable for indirect damages; OCR/AI output may require human verification. The Publisher’s liability may be capped, in particular for professionals, at the amount paid during the preceding twelve (12) months.
Personal data: processing details are set out in the Privacy policy.
Changes, governing law
The Publisher may evolve the Service and amend these Terms of Use. In the event of material changes, the User may be notified (email, in-app notification); continued use constitutes acceptance.
These Terms of Use are governed by French law (French courts for professionals; legal rules and mediation for consumers). If any clause is null, the others continue to apply; failure to exercise a right does not constitute a waiver.
